OFFICIAL RULES

Artistcloseup Times Square Open Call

1. ORGANIZER

The Artistcloseup Times Square Open Call ("Open Call") is organized and administered by Artistcloseup ("Organizer").

By submitting an entry, participants agree to be bound by these Official Rules and all decisions made by the Organizer.


2. ELIGIBILITY

The Open Call is open to artists worldwide.

Participants must be at least 18 years of age at the time of submission.

All visual art mediums are welcome, including but not limited to:

• Painting

• Photography

• Digital Art

• Illustration

• Drawing

• Mixed Media

• Sculpture

• Collage

• Printmaking

• AI-Assisted Artwork

• Other visual art forms

The Organizer reserves the right to determine eligibility and suitability of submitted works.


3. ENTRY PERIOD

Submissions open on the date announced by the Organizer and close on July 6, 2026.

Artistcloseup reserves the right to close submissions earlier if review capacity is reached, or to extend the submission period if deemed appropriate.

Artistcloseup reserves the right to suspend, modify, postpone, or terminate the Open Call at its sole discretion.


4. ENTRY FEE

The entry fee is $49 USD per submission.

Each submitted artwork requires a separate entry and separate entry fee.

All entry fees are non-refundable.

Submission of an entry does not guarantee selection.


5. SUBMISSION REQUIREMENTS

Participants must submit:

• Artist Name

• Email Address

• Instagram Username

• Artwork Title

• Artwork Image

• Any additional information requested through the submission form

Participants are responsible for ensuring all submitted information is accurate.

Artist names and Instagram usernames may be used exactly as submitted.


6. ARTWORK OWNERSHIP

Participants must be the creator and copyright holder of all submitted artwork.

By submitting artwork, participants represent and warrant that:

• The artwork is original

• The artwork does not infringe upon the rights of any third party

• The participant has all necessary rights and permissions required for submission

The Organizer reserves the right to disqualify any submission that violates these requirements.


7. LICENSE GRANTED TO ARTISTCLOSEUP

Artists retain full ownership and copyright of their artwork.

By submitting an entry, participants grant Artistcloseup a non-exclusive, worldwide, royalty-free license to:

• Display submitted artwork in connection with the Open Call

• Publish submitted artwork on Artistcloseup websites

• Use submitted artwork for editorial content

• Use submitted artwork for marketing and promotional purposes

• Publish submitted artwork on social media platforms

• Display submitted artwork as part of the Times Square presentation if selected

This license remains in effect for promotional, editorial, and archival purposes related to the Open Call and Artistcloseup activities.


8. SELECTION PROCESS

Three artists will be selected by Artistcloseup.

Selection will be based on factors including but not limited to:

• Artistic quality

• Originality

• Visual impact

• Presentation

• Overall suitability for the project

All decisions made by the Organizer are final.

No correspondence regarding selection decisions will be entered into.


9. WINNER BENEFITS

Each selected artist will receive:

• A dedicated Times Square billboard presentation

• An individual billboard presentation featuring only their artwork

• Artist name displayed alongside the artwork

• Instagram username displayed alongside the artwork

• Professional photo documentation

• Professional video documentation

• A published Artistcloseup interview

• An official Artistcloseup certificate

Prize components may be modified if circumstances beyond the Organizer's reasonable control require changes.

No cash alternative is available.

Prizes are non-transferable.


10. TIMES SQUARE DISPLAY

Artistcloseup intends to provide each selected artist with an individual billboard presentation in Times Square, New York.

The planned campaign consists of a 24-hour display schedule, with presentations scheduled throughout the campaign period.

Display schedules, locations, timing, billboard operators, technical specifications, and presentation formats may vary.

While Artistcloseup intends to provide the feature substantially as described, billboard scheduling remains subject to venue availability, technical limitations, weather conditions, operational requirements, and third-party providers.

Artistcloseup reserves the right to make reasonable adjustments where necessary.


11. WINNER RESPONSE REQUIREMENTS

Selected artists must respond to Artistcloseup communications within seven (7) calendar days of notification.

Selected artists may be required to provide:

• High-resolution artwork files

• Artist attribution information

• Instagram username confirmation

• Additional production materials

Failure to respond within the required period may result in forfeiture of the award and selection of an alternate artist.


12. ARTWORK TECHNICAL REQUIREMENTS

Selected artists may be required to provide artwork files that meet specific production requirements.

If suitable production files cannot be provided within the requested timeframe, Artistcloseup reserves the right to disqualify the selected artwork and select an alternate entrant.


13. PROFESSIONAL DOCUMENTATION

Artistcloseup will make reasonable efforts to provide professional photo and video documentation of the Times Square presentation.

Documentation may vary depending on environmental conditions, crowd conditions, weather, technical factors, and third-party limitations.

Artistcloseup does not guarantee specific photo angles, quantities, formats, production styles, or media deliverables.


14. PUBLICITY

By participating, entrants agree that Artistcloseup may use:

• Artist Name

• Artwork

• Instagram Username

• Country of Residence

• Interview Content

for promotional, editorial, publicity, marketing, and archival purposes without additional compensation.


15. NO GUARANTEE OF COMMERCIAL BENEFIT

Participation in the Open Call or selection as a winner does not guarantee:

• Artwork sales

• Commissions

• Media coverage

• Press opportunities

• Social media growth

• Career advancement

• Financial gain

Artistcloseup makes no representation regarding specific outcomes resulting from participation or selection.


16. DISQUALIFICATION

Artistcloseup reserves the right to remove, reject, or disqualify any submission that:

• Violates these Official Rules

• Contains unlawful content

• Contains offensive, hateful, defamatory, or inappropriate material

• Infringes intellectual property rights

• Contains misleading or fraudulent information


17. LIMITATION OF LIABILITY

To the fullest extent permitted by law, Artistcloseup, its owners, employees, contractors, affiliates, partners, and service providers shall not be liable for:

• Technical failures

• Website interruptions

• Lost submissions

• Payment processing errors

• Third-party service interruptions

• Billboard operator decisions

• Event cancellations

• Travel expenses

• Indirect, incidental, or consequential damages

Participation is at the entrant's own risk.


18. MODIFICATION OR CANCELLATION

Artistcloseup reserves the right to modify, suspend, postpone, or cancel the Open Call if circumstances beyond its reasonable control make administration impractical or impossible.

In such circumstances, Artistcloseup may substitute equivalent benefits or opportunities at its sole discretion.


19. PRIVACY

Personal information collected during submission will be used for administration of the Open Call and communication regarding Artistcloseup opportunities.

Information will be handled in accordance with the Artistcloseup Privacy Policy.


20. ACCEPTANCE OF RULES

By submitting an entry, participants acknowledge that they have read, understood, and agreed to these Official Rules and all related terms, conditions, and policies.
